Email Automation: automated email sequences for your contacts

Welcome and follow-up emails that send themselves, at the right moment.

A potential customer asks for information and gets a reply. Then, silence: nobody writes to them again because the team is busy with other things. It isn’t a lack of interest; it’s a lack of time to do the same follow-up with every person.

Email Automation is a sequence of emails that send themselves when something specific happens: someone leaves their details, asks for a quote or signs up. Each email goes out at the moment we define, with the right message for that stage.

It makes sense when you keep writing the same emails by hand: welcome, sending information, a reminder or “did you get a chance to look at the proposal?”. Automating them keeps in touch consistently and with a careful tone.

It is useful for services where the purchase decision takes a little time, such as a language school, a clinic or a renovation company.

  1. Contact signs up
  2. Email 1: welcome
  3. Wait
  4. Follow-up email
  5. Reply or sale
  1. We define the goal

We agree what the sequence should achieve: welcome, inform, remind about a proposal or re-engage a contact who didn’t reply.

  2. We design the sequence

We set what triggers the sending, how many emails there will be, in what order and how much time between each one.

  3. We set up the sending

We build the sequence in your CRM (Customer Relationship Management) or email tool with the agreed copy.

  4. We test and switch it on

We send tests, check how the emails look and activate the sequence.

  • One basic automated email sequence
  • Definition of the trigger (the action that starts the sequence)
  • Order and timing between the emails
  • Setup in your CRM or email tool with the agreed copy
  • Send tests before activation

  • Regular newsletters or monthly email marketing campaigns
  • Email tool or CRM licence
  • Advanced template design or extensive copywriting: available as an additional service
  • Additional sequences or sequences with several branches based on user behaviour: quoted separately

A language school receives requests for information about its courses through its website.

Before

Each request gets a manual reply. If the person doesn’t answer, they are almost never contacted again.

After

When they sign up, they receive a welcome email with the courses and, a few days later, another inviting them to a trial class. The team looks after those who reply.

  • Consistent follow-up with every contact
  • Coherent messages, reviewed once and always sent just as well
  • More chances that the contact takes the next step
  • The team focuses on people who are already showing interest

  • It can reduce the hours spent writing the same email over and over
  • It can avoid forgotten reminders and follow-ups
  • It lets you reuse the same carefully written copy with every new contact

  • Email sequence live and tested
  • Outline of the sequence: trigger, emails and timing
  • Explanation of how to view and edit the sends

How many emails are in the sequence?

It is a basic sequence. We define the exact number of emails with you according to the goal, and it is fixed in the scope before we start.

Do you write the copy?

We set up the sequence with the copy we agree with you. If you need more elaborate copywriting, it is available as an additional service.

Is it the same as a newsletter?

No. A newsletter goes to the whole list on a set date. This sequence triggers on its own for each person, based on what they do.

Why is the price “from”?

Because it depends on the tool and on how complex the sequence is. We confirm the final price before we start.

Tell us about your situation and we’ll tell you, with no commitment, whether this service fits or which alternative makes more sense.
